Administrative Assistant Floater
Overview:
At Neighborhood House we provide affordable high-quality preschool, youth and adult care services in the Salt Lake Valley. We believe every family deserves access to reliable care, and our dedicated staff helps make that vision possible every day.
We are looking for an Administrative Assistant, who thrives in a dynamic environment and wants a role that combines purpose, flexibility, and professional growth. This split shift position is ideal for someone seeking full-time hours with a flexible schedule that includes breaks during the day.
As the first point of contact for clients, families and visitors, your role will be central to creating a warm, welcoming environment. You’ll also support the organization with important administrative tasks that keep our programs running smoothly and efficiently.
Primary Responsibilities:
Greet and assist clients and visitors, providing a friendly and professional first impression
Support in the admissions process by answering program related questions, assist families with registration and collection of documentation
Collect & process client payments in a professional and organized manner
Maintain organized and secure client records and assist with data entry and reporting
Coordinate calendars, schedule meetings, and manage incoming mail and office supplies
Translate communication (verbal and written) for Spanish speaking clients
Collaborate with multiple departments to support daily operations and projects as needed
Collect program data through software system and ensure timely and accurate reporting
Support teachers in the classroom as needed to maintain appropriate student-to-teacher ratios.
Assist with breakfast, lunch, and snack times to ensure smooth and safe mealtimes.
Respond promptly to codes and emergency situations, following established safety protocols.
Ensure proper opening and closing procedures are completed according to center policies.
Qualifications:
- Bilingual (English/Spanish) with strong written and verbal communication skills
- 3+ years hands-on administrative experience
- Passionate about delivering exceptional client service to diverse populations
- Proficient in Microsoft Office and database management
- Highly organized, detail oriented and comfortable working in a fast-paced office environment
- Innovative but also proactive who can think outside the box and find meaningful ways to stay engaged, even on quieter days
- Superior organization skills and dedication to completing projects in a timely manner.
- Flexible and dependable with a schedule that allows coverage during early mornings and late afternoons
- Cultural sensitivity and adaptability
- Reliable transportation
- Must be able to pass a background check and drug test.
