CCQS Specialist, Bilingual

Customer Service

General Summary:

Provide bilingual English/Spanish general CAC services for clients and providers. Support providers who wish to participate in the Child Care Quality System (CCQS).


Essential Job Functions:

General Office Duties:

• Attend Children’s Service Society and Care About Childcare staff meetings as scheduled

• Communicate with co-workers and team members in a positive, respectful and professional manner, using effective team building and communication techniques

• Represent the agency in a positive and professional manner at all times, including appropriate dress

• Maintain updated calendar and Inform supervisor of schedule changes at least 2 weeks in advance

• Keep personal use of time to a minimum, including personal conversations with co-workers as well as computer and cell phone use

• Coordinate with your supervisor to maintain phone coverage for the department

• Enter Information into the data base for statistical and reporting purposes

• Under the direction of your supervisor, maintain a filing system for recordkeeping

• Submit agency paperwork to appropriate supervisor in a timely manner

• Assist the department with any copying, mailing, printing and other duties as assigned


Specific Job Duties: Child Care Quality System

• Develop and maintain relationships with the Office of Childcare, Department of Workforce Services, State Child Care Licensing agency, Children’s Service Society and Care About Childcare administration to be aware of updated information and resources, Provide outreach and coordination with collaborative agencies

• Follow the guidelines dictated by DWS, OCC, Ask for clarification and input from supervisors when necessary

• Respond to all agency, parent and community inquiries and complaints in a timely manner, seeking guidance from CSS & CAC administration, Maintain client confidentiality

• Work with the Consumer Services, Research & Data Coordinator to develop a yearly program plan.

• Offer technical assistance to assist programs with the Child Care Quality System (CCQS)

• Offer assistance with accessing the CCQS applications, webinars, online training, sharing resources to support improving quality, provide assistance to providers who need documents uploaded and in applying for support, including technical assistance, outreach and grants through DWS, OCC

• Process applications submitted for a Certified Quality Rating. Review applications for accuracy contact programs and offer technical assistance. Ensure all documentation submitted by the program is verified and finalize the application for a rating

• Review and approve family engagement documentation as requested by DWS, OCC

• Attend regular DWS, OCC CCQS Specialist meetings to keep abreast of changes and updates to the CCQS program


Specific Job Duties: Consumer Education, Outreach & Data Management

• Provide technical assistance on phone or in person including answering questions concerning finding childcare, paying for childcare, becoming a childcare provider, CCQS rating system, and Care About Childcare

• Inform referral customers of the availability of child care assistance subsidies by DWS and how to access them

• Provide free research based early care and education information to referral customers and childcare programs

• Provide guidance to professionals in using the CAC website, adding self photo and about me statement, uploading documentation, applying for a career ladder level or endorsement , navigating the CDA process, and applying for a scholarship or incentive

• Provide guidance to child care programs regarding updating contact information, staff information, program schedules, attributes, capacity, rates, and added program photo’s and message.

• Complete recruits and the whole record updates

• Assist new family child care programs

• Assist with translation and interpretation as needed

• Assist child care providers in creating their Department of Workforce services account

• Participate in CAC Resource Night, all staff will take turns holding a resource night


Specific Job Duties: Live Scan fingerprinting

• Administer services relating to Live Scan fingerprinting for providers and caregivers in need of fingerprinting, scheduling and maintaining providers’ appointments

• Collaborate with the Child Care Licensing Program and BCI to resolve any fingerprinting issues


Knowledge, Skills, and Abilities:

• Knowledge of/ability to learn agency programs and services, Policies & Procedures Manual and Employee Training Manual

• Skill in operating equipment, such as personal computer, word processing and excel software and IT systems

• Skill in oral and written communication

• Ability to communicate with employees, clients, and various business contacts in a professional and courteous manner

• Excellent customer service skills

• Interest in working with people from all backgrounds and cultures

• Ability to work in a team environment

• Ability to organize multiple work assignments and establish priorities

• Ability to negotiate with others and resolve conflicts, particularly in sensitive situations

• Ability to pay close attention to detail and to ensure accuracy of reports and data

• Ability to make sound decisions using available information while maintaining confidentiality


Education and Experience:

Requirements: Must have a minimum of a High School Diploma or GED graduate

And

Must be able to pass a yearly background check

Must maintain a current driver’s license

Experience and training in leadership and management

Experience in the Child Care field preferred

Customer service experience

Office experience, computer literacy including Excel, database knowledge, Microsoft programs. Able to create data reports
