Child Care Membership Coordinator
JOB SUMMARY:
This is not your typical office job! The Boys & Girls Club is looking for a dedicated, professional, and organized individual to keep things running smoothly as our Membership Coordinator. This role is responsible for ensuring the smooth and efficient operation of the front desk and related activities. This role includes welcoming and assisting parents, youth, staff, volunteers, and visitors, managing various administrative tasks, maintaining accurate records, and ensuring a positive and professional atmosphere at the front desk. The Coordinator also handles communication, data management, and supports the organization's culture and community engagement efforts.

Key Responsibilities:
- Front Desk Management: Welcome and assist parents, youth, staff, and visitors. Handle phone inquiries, manage email, and maintain the Club calendar.
- Administrative Tasks: Manage Kidtrax entries, distribute permission slips, update rosters, and maintain accurate records for attendance, payments, and donations.
- Financial Oversight: Collect payments, update revenue documents, and maintain financial records, including receipts and ledgers.
- Club Culture & Community Engagement: Ensure the front desk area is clean, organized, and welcoming. Create flyers, update digital signage, and assist with communication to parents.
- Compliance & Licensing Support: Prepare for inspections by keeping attendance and emergency numbers up to date. Assist with vehicle key management and maintain maintenance binders for the building and vehicles.
Needed Knowledge:
- Ability to prioritize tasks and accomplish them in a detailed, timely manner
- Proficiency in Microsoft Office, Google Workspace, and relevant software.
- Strong organizational, communication, and customer service skills.
- Ability to work in high-energy, loud, and active settings with large groups of youth
- Be adaptable and flexible to change
- Assume other responsibilities as assigned by the supervisor
Requirements:
- 2 years experience in an office, receptionist, secretary, or similar setting is preferred
- 21 years and over preferred (to meet driving requirements)
- High school diploma, some college preferred
