Facilities Maintenance Coordinator

Peace House is a charitable organization dedicated to ending family violence and abuse, including sexual assault and abuse, in the community through education, outreach, support services and shelter. Classification: Full-Time 40 hour a week, non-Exempt     Hourly: $25.00 + DOE

Reports to:  Director of Residential Services 


JOB DESCRIPTION

Summary/Objective

Under the direction of the Director of Residential Services, the Facilities Maintenance Manager is responsible for performing and managing day-to-day maintenance and repair of the Peace House facility (42,000 sq ft)– including grounds, administrative offices, residential units, outpatient offices, common areas, and childcare center.

Essential Functions  

  • Manage, maintain, and respond to an online ticketing system for maintenance and service requests/needs. Fulfill/perform all basic service requests & repairs in a timely manner. If a service cannot be completed, call a service repair company, or take item to be repaired or replaced (following financial best practices). Submit repair or replacement estimates to Director of Residential Services.

  • Manage, and maintain a daily, weekly, monthly, quarterly, and annual Facilities Maintenance Checklist that schedules and performs on-going property inspection, repairs vacant shelter and TH units as required, routine maintenance, deep-cleaning, and attends to the general cleanliness and organization of facility in preparation for third-party inspections and audits.

  • Negotiate/Oversee all contracts with third party vendors for any portions of the following services not being performed by this position, representing Peace House with fair, ethical and diligent interactions:
  • Cleaning Services – to include bathrooms, (public, staff, and shelter areas), kitchens (communal, shelter and staff areas), vacuuming, dusting, trash and recycle disposal (public, shelter, staff areas and offices), move-in readiness cleaning and repairs (transitional housing).
  • Landscaping Maintenance Services – mowing, planting, sprinkler systems, weed control and tree service.
  • Fire System and Extinguishers Maintenance & Service
  • Snow Removal Services (including parking areas, walkways, mailbox, and dumpster areas).
  • Window Cleaning Services
  • Trash/Recycling Removal – dumpsters.
  • Mailboxes – Delivery, maintenance, keys, and general access.
  • Filtered/Drinking Water Service - (water coolers - if required).
  • Electrical Contractor
  • HVAC Contractor
  • Pest Control
  • Utilities (i.e., Sewer, Water, Gas, Electric, Internet/Wi-fi, Phone, Security Systems)

  • Address staff and resident concerns in a timely and professional manner. Document and report all issues to supervisor & management, as appropriate. Maintain appropriate and ethical boundaries with clients and comply with all outpatient and residential support policies and procedures.

  • Help prepare, monitor, track and adjust maintenance budget while always considering potential cost-saving measures including volunteer support and in-kind donations.

  • Develop and maintain evidence-based policies, procedures, forms, and operations for facilities maintenance that are compliant with State level administrative rules and laws and are copacetic with outpatient and residential support program policies. Guideline violations or safety concerns must be reported as required by the Department of Human Services and outpatient and residential support program policies.

  • In collaboration with the Director of Residential Services, and maintain an inventory list of physical property, low-value assets, and assets for the facility. Work with Peace House accounting for annual depreciation, purchase of property, disposal of property, and property loss.

  • Work collaboratively across departments and with program/administrative staff.

  • Other duties as assigned

Required Skills and Experience

  • Must have a High School diploma or GED equivalent.
  • 5 years’ industry-related experience.
  • Clear understanding of building/facility functionality, operability, and management
  • Comprehensive knowledge of methods and techniques of the trades (HVAC, electrical, plumbing, construction repairs, etc.) required.
  • Ability to pass a background check and obtain 24 hours of DV related training within the first year of employment and 16 hours every year thereafter.
  • Experience in Occupational Safety and Health Association (OSHA) guidelines and practices and business/building codes.
  • Be available for on-call or after-hours emergencies/support.
  • Obtain 6 hours annually of continuing education.

 

Preferred Skills

  • Possess, or have the ability, to obtain a DOPL Handyman License or a Contractor’s License in a relevant field.

Work Environment

  • Occasional travel.
  • Ability to lift 50-75 pounds to squat, bend, stoop, reach, push and pull.
