Presentations Coordinator

Education/Training Outreach and Community Engagement

Position Summary

The NAMI Utah presentations coordinator is a 32-hour-per-week position. This person is responsible for recruiting volunteer presenters, training them, and supporting them when they present both online and in person.  NAMI’s presentation programs include Ending the Silence, which is offered in schools and includes a young adult who shares their mental health story, In Our Own Voice where adults share their mental health journeys, and Family-and-Friends a presentation focusing on the experience of family members supporting loved ones who struggle with their mental health.


Recruit Volunteers

  • Market the need for volunteer presenters through social media, volunteer web sites, current NAMI Utah participants, etc.
  • Onboard potential volunteers, explaining training process and expectations of volunteers


Train Presenters

  • Work with national office to become a state trainer of presentations
  • Set up volunteers for online training and make sure is complete before NAMI Utah’s live virtual training
  • Plan regular live virtual trainings of new presenters, working closely with volunteers to refine their stories so they are hopeful, they use safe language, and their stories stay within the time frames allotted
  • Arrange for practice sessions, so trainees feel confident and well prepared

 

Coordinate Presentations with Schools, Community Organizations and On-line

  • Reach out community offering NAMI presentations, and respond to community requests
  • Coordinate weekly evening online presentations
  • Arrange pre-presentation meetings with programs manager and school / organization to review presentation, discuss concerns, and set stage for safety
  • Set up post-presentation meetings to review how presentation was received, problem solve, and make arrangements for future presentations

 

Coordination Details

  • Track presentations plan and review regularly
  • Update registration forms (via Jotform)
  • Put presentations on web site calendar
  • Assist with marketing presentations
  • Coordinate volunteers for presentations, including back-ups
  • Send welcome emails and follow-up materials
  • Assure swag, handouts, evaluations, and other supplies, as well as video clips and power points are ready before presentations
  • Prepare and disseminate reports after each presentation
  • Provide reporting data for NAMI Utah’s mid-year and annual reports

Support Volunteer Presenters

  • Prepare volunteers for presentations, providing calm, supportive, positive messaging.
  • Attend presentations with volunteers, virtually and in-person, coaching and supporting them, as well as assuring they abide by expectations of staying on script and within time limits
  • Take pictures of volunteers, if they give permission, for marketing purposes
  • Prepare stipends and mileage requests
  • Thank and acknowledge our precious volunteers

 

General NAMI Utah Responsibilities

  • Actively engage with the NAMI Utah staff culture, participate in staff meetings sharing insights and problem solving
  • Participate on committees as needed that promote the work of NAMI Utah (i.e. Walk committee, conference committee, outreach, holiday luncheon, etc.)
  • Actively support NAMI Utah events including the NAMI Walk in the spring, and the NAMI Utah fall conference, the Faith Summit and the holiday luncheon
  • Complete other duties as assigned, working together with our team to assure the success of the agency
  • Help support other NAMI Utah departments, so the agency runs efficiently and effectively

Qualifications

  • Excellent knowledge of Microsoft Office Suite (Word, Excel, Power Point)
  • Familiarity with Jot forms, Google forms, Constant Contact a plus
