Volunteer Engagement Coordinator

Peace House is a charitable organization dedicated to ending interpersonal violence, including sexual assault and abuse, in the community through education, outreach, support services and shelter. To fulfill our mission, Peace House offers specific services to clients, including Safe Housing, Supportive Services, and Prevention Education. Peace House is located in Park City, UT. We are currently seeking a full-time Volunteer Engagement Coordinator. To fulfill our mission, Peace House operates a robust volunteer program that supports our administration, community programs, and client services programs. This position is responsible for developing, implementing, and maintaining a successful volunteer program. This position will work harmoniously with staff, clients, donors, and the community by maintaining emotional control and diplomacy during all interactions and by communicating verbally and non-verbally in an articulate, prompt, and professional manner. The ideal candidate will be a meticulous record keeper, enjoy engaging with the community, and be passionate about volunteer work.

PRIMARY RESPONSIBILITIES

Volunteer Coordination, Supervision, and Management

  • Actively recruit and maintain volunteers and publicize available volunteer opportunities using a variety of tools.
  • Respond to all incoming volunteer inquiries, requests, and applications promptly.
  • Create and/or maintain a tracking and follow up system to ensure maximum engagement.
  • Conduct all initial volunteer interviews and thoroughly screen all potential volunteers for appropriate placement.
  • Develop volunteer teams such as a robust front desk corps, shelter and/or outreach program support, food/household drives, children’s services, education/community awareness programs, administrative support, and fundraising events.
  • Maintain accurate and up-to-date volunteer files including applications, background checks, fingerprinting, and necessary documentation for all personnel.
  • Conduct, schedule, and track all volunteer orientations and training with appropriate departments. Facilitate regular volunteer training as needed.
  • Responsible for creating and editing the volunteer handbook as needed.
  • Act as the point-of-contact for all on-site volunteer activities, supervise volunteers and/or work with department or event managers to supervise volunteers.
  • Create and maintain monthly volunteer newsletter.
  • Collaborate with marketing department to ensure updates, volunteer opportunities, and volunteer news is sent to volunteers regularly and does not conflict with other Peace House news or event emails.
  • Create annual and event-based volunteer feedback surveys. Adjust program as needed based on feedback received.
  • In conjunction with the Director of Marketing and Communications, ensure appropriate recognition of volunteers through thank you notes, media coverage, Newsletter, awards, events, and more.
  • Meet with each Peace House department regularly to gain insight for supporting the organization's volunteer needs.
  • Administering and maintaining volunteer-related software systems including DACS, Every Action, Mobilize, Apricot, and any additional necessary software or platform.
  • Perform other duties as assigned.

Specific Volunteer Programs

  • Collaborate with necessary staff member(s) to train and schedule Front Desk volunteers.
  • Work with the Sexual Assault team to ensure volunteer needs are fulfilled, Hospital Response Team volunteers are appropriately supported, and files are up to date.

Event Planning and Participation

  • Attend special committee meetings as requested.
  • Collaborate with event managers to assess volunteer needs for events.
  • Post volunteer shifts electronically through the appropriate software, and share links, descriptions, and imagery that reflects new volunteer opportunities with the Marketing and Communications Director.
  • Attend PH special events and supervise event volunteers, when appropriate.

Professional Development

  • Attend training sessions for professional development, as required and approved.
  • Create and maintain a job procedure manual for this position.

ADDITIONAL RESPONSIBILITIES

  • Complete regular check-in meetings with supervisor to verify volunteer program needs are met and updates to the volunteer program are made when needed.
  • Ensure a yearly volunteer program evaluation occurs, including setting yearly SMART goals, in collaboration with supervisor.
  • Provide regularly scheduled status reports, including number of active volunteers and hours of volunteer service, to the Executive Director and/or Program Directors, as requested.
  • Establish and maintain effective collaborative relationships with agency staff and any other organizations, individuals, and community partners important to the success of Peace House’s work.
  • Follow state and federal laws on victim confidentiality.

REQUIRED QUALIFICATIONS

  • High School Diploma required, bachelor’s degree in communications or related field.
  • At least 1 year of related experience in volunteer management and/or leading and managing teams.
  • Ability to work cooperatively and collaboratively with staff, peers, management teams, supervisors, governing board, and community partners.
  • Excellent computer skills required: Microsoft Office suite as well as navigating and utilizing databases.
  • Ability to work respectfully with people of diverse ages, races, ethnicities, nationalities, socio-economic levels, beliefs, and lifestyles.
  • Excellent interpersonal and communication skills: comfortable building relationships with individuals via phone, email, and in-person.
  • Collaborative team player who works effectively with colleagues and staff across programs, and within the agency.
  • Ability to work occasional evenings and weekends.
  • Ability to pass background clearance.
  • Current First Aid and CPR certification or ability to get training within the first month of employment.

JOB TYPE: Full-time, hourly: 40 hours per week, M-F onsite, including occasional

evenings or weekends required

$23 - $25 DOE

WORK LOCATION: Park City

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses

standard office equipment such as computers, phones, photocopiers, filing cabinets

and fax machines.

PHYSICAL DEMANDS

Occasional lifting, toting and hauling of supplies 50 pounds and less; travel and attend

offsite meetings.
