Overview:
Join the Sema Hadithi Foundation in planning and executing one of our most important annual events—the Ancestral Remembrance Celebration Dinner and the Tell the Story Black History Conference. Committee members help ensure these events reflect the richness of African American history in Utah, elevate community voices, and engage attendees through powerful storytelling, education, and connection.
Volunteer Responsibilities:
- Assist in planning and organizing the annual dinner and history conference.
- Coordinate with speakers, vendors, sponsors, and participants to ensure smooth execution.
- Help manage event logistics, including scheduling, venue setup, registration, transportation coordination, and technology support.
- Promote the event through community outreach, social media campaigns, press releases, and local partnerships.
- Support the design, preparation, and distribution of programs, signage, handouts, and other materials.
- Provide on-site support during the event: guest services, volunteer coordination, accessibility assistance, and problem-solving.
Ideal Committee Structure:
Six to ten volunteers
- Committee Chair: Appointed by the Executive Director or Board of Trustees.
- Logistics - Oversee venue, equipment, schedule.
- Program & Speaker - Communicate with presenters and coordinate session planning.
- Sponsorship & Vendor - Manage sponsor packages, vendor agreements, and acknowledgments.
- Marketing & Outreach - Promote the event via newsletters, social media, and community channels.
- Event Volunteers - Help recruit, train, and schedule volunteers for the event weekend.
Qualifications:
- Strong organizational and communication skills.
- Background or interest in event planning, community engagement, or program coordination.
- Collaborative team player with the ability to work independently when needed.
- Passion for African American history, culture, and heritage preservation.
- Comfortable with technology and digital tools such as Zoom, Google Drive, and Canva (a plus).
Commitment:
- 1–2 hours per week, increasing to 3–5 hours closer to the event (August–early September).
- Participate in monthly meetings and additional working sessions as needed.
- Be available for in-person presence during the September event (setup, event days, and takedown).
- Minimum 12-month commitment, to support post-event evaluation and next-year planning.
Supervision & Team Structure:
- Reports to the Committee Chairperson or designated Board of Trustees member.
- Works in collaboration with other committee members, Sema Hadithi staff and contracted vendors, and Community partners and volunteers.

Location:
- Events and some planning sessions take place in Salt Lake County, Utah.
- Most planning meetings are virtual or hybrid (Zoom + local meetups).
