Volunteer Responsibilities

Enter, reconcile, and review financial transactions in QuickBooks Online. / Assist in categorizing expenses and income accurately by project or fund. / Generate monthly reports for internal review and board meetings. / Prepare and organize documentation required for our accounting firm. / Collaborate with the Treasurer and provide support in creating budgets and forecasts. / Track restricted vs. unrestricted funds and flag discrepancies. / Maintain confidentiality of all financial data and reports. / 3–5 hours per week (flexible), depending on the reporting schedule. / Occasional virtual or in-person check-ins with the Treasurer.


Project Details

Overview: Sema Hadithi Foundation is seeking detail-oriented and trustworthy volunteers to assist in maintaining our financial records using QuickBooks and to support coordination with our external accounting firm. Volunteers will work under the guidance and supervision of the Board of Trustees' Treasurer and play a vital role in ensuring transparency, compliance, and effective financial stewardship.

Ideal Structure: This role is shared among two to three volunteers, allowing for flexibility and collaboration.

Responsibilities:

  • Enter, reconcile, and review financial transactions in QuickBooks Online.
  • Categorize expenses and income accurately by project or fund.
  • Generate monthly reports for internal review and board meetings.
  • Prepare and organize documentation for accounting firm.
  • Work with the Treasurer & provide support in creating budgets and forecasts.
  • Track funds and flag discrepancies.
  • Maintain confidentiality of all financial data and reports.

Qualifications:

  • Experience with QuickBooks Online (training can be provided).
  • Interest in nonprofit bookkeeping, accounting, or finance.
  • Strong attention to detail and organizational skills.
  • Ability to work independently and collaboratively.
  • Comfortable working with spreadsheets and cloud-based systems.
  • Commitment to confidentiality and ethical financial practices.

Time Commitment:

  • 2–5 hours per week (flexible), depending on the reporting schedule.
  • Occasional virtual or in-person check-ins with the Treasurer.
  • Minimum 12-month commitment.

Supervision & Team Structure:

  • Reports directly to the Treasurer of the Board of Trustees.
  • Works with fellow Financial Records Assistants and with our contracted accounting firm.
