Volunteer Coordinator

Position Summary
The Volunteer Coordinator supports the Volunteer Manager in building a strong, mission-aligned volunteer corps for Sema Hadithi African American Heritage and Culture. This role helps recruit, schedule, orient, and appreciate volunteers who contribute to research, events, exhibits, storytelling projects, and community engagement. The Coordinator ensures volunteers have clear roles, feel welcomed and supported, and understand how their service advances the work of telling the story of African-ancestor history, heritage, and culture in Utah.
Key Responsibilities
Recruitment & Outreach
- Assist in posting opportunities across volunteer platforms, community boards, and partner networks.
- Respond to inquiries from prospective volunteers and guide them through the sign-up process.
- Support targeted recruitment for major initiatives (e.g., Buffalo Soldier Heritage Trail, Veterans Stories Project, annual conference).
Onboarding & Orientation
- Schedule orientations and ensure new volunteers complete waivers, agreements, and assignments.
- Provide introductory materials explaining Sema Hadithi's mission, values, and volunteer expectations.
- Track placement preferences and availability.
Scheduling & Coordination
- Maintain volunteer schedules for events, research teams, scanning projects, tours, and special programs.
- Ensure volunteers receive timely reminders, instructions, and day-of contact information.
- Help fill shift gaps and coordinate substitutes as needed.
Communication & Support
- Serve as a friendly point of contact for volunteers.
- Relay questions or concerns to the Volunteer Manager.
- Provide updates, resources, and announcements through email or the volunteer portal.
Recordkeeping & Data Management
- Log volunteer hours and participation in NeonCRM.
- Update volunteer profiles and ensure contact information is accurate.
- Assist the Volunteer Manager in preparing monthly volunteer activity summaries.
Appreciation & Engagement
- Assist in implementing appreciation activities (spotlight features, thank-you notes, recognition at events).
- Encourage volunteers to stay involved and take advantage of ongoing opportunities.
Qualifications
- Strong interpersonal and communication skills.
- Organized and reliable with attention to detail.
- Comfortable using email, spreadsheets, and basic CRM systems (training provided).
- Ability to represent Sema Hadithi's values of unity, historical truth, and cultural respect.
- Works collaboratively in a team environment with diverse volunteers.
Time Commitment
- 2-4 hours per week (flexible), plus participation in occasional events.
Impact of This Role
The Volunteer Coordinator strengthens Sema Hadithi's capacity to deliver research, exhibits, and public programs. By ensuring volunteers feel supported and engaged, this position directly contributes to expanding public understanding of Utah's African American history and moving the organization toward becoming a fully funded Black history museum.
