Administrative Assistant
Position Summary
This is a 32-hour per week position. The administrative assistant supports our executive director, and other staff with administrative details, playing a key role in keeping the organization running effectively and efficiently. Successful candidates have an eye for detail, take initiative, are eager to see the success of the organization with a drive to solve problems and a can-do attitude.
Administrative Responsibilities
- Assist with organizing, collecting and reporting data, as well as presenting it professionally in reports
- Research, purchase and track supplies
- Send communications via mass email marketing platform
- Update website as needed
- Organize office space and keep it well maintained
- Handle technical issues and problem solve with zoom phones and video conferencing, , photo copier, web site issues, etc.
- Prepare and print documents for board meetings, development needs, etc.
- Take notes, distribute and file them for various meetings
- Run errands as needed (post office, caterer, supply purchasing, etc.)
- Develop systems that keep organization running smoothly – such as rosters, employee personal contact information, manual tracking, etc.
- Purchase and track swag, coordinating with outreach team and affiliates
- Distribute appreciation materials to volunteers and others
- Coordinate material distribution for affiliates (tablecloths, flyers, swag)
Creative Content & Graphic Design Responsibilities
- Design flyers, format newsletters and other promotional materials
- Assist with social media content creation, posting, monitoring, and tracking of activity
- Format mid-year and annual reports so they are eye catching and professional appearing
Bookkeeping & Development Responsibilities
- Assist with check writing and tracking
- Maintain financial records such as bank reconciliation
- Process donations, scan and record checks, enter data into donor database, and deposit checks, and track thank-you
General NAMI Utah Responsibilities
- Actively engage with the NAMI Utah staff culture, participate in staff meetings sharing insights and problem solving
- Participate on committees as needed that promote the work of NAMI Utah (i.e. Walk committee, conference committee, outreach, etc.)
- Actively support NAMI Utah events including the NAMI Walk in the spring, and the NAMI Utah fall conference, the Faith Summit and the holiday luncheon
- Complete other duties as assigned, working together with our team to assure the success of the agency
- Help support other NAMI Utah departments, so the agency runs efficiently and effectively.
Qualifications
- Excellent knowledge of Microsoft Office Suite (Word, Excel, Power Point)
- Familiarity with Jot forms, Google forms, Constant Contact
