Administrative Assistant

Admin/Operations Finance and Accounting

The Utah Afterschool Network (UAN) is seeking an experienced and detail-oriented Administrative Assistant to support the organization’s mission of providing training, resources, and support to afterschool programs throughout Utah.

This position provides administrative and financial support across the organization, with a particular focus on accounts payable, payroll administration, grants and contracts, and general office operations. The ideal candidate is organized, dependable, comfortable working independently, and enjoys helping keep systems and processes running smoothly.

Primary Responsibilities

● Upload vendor invoices, deposits, credit card charges, staff payments, and other financial documentation to Google Drive.

● Work with the accounting and leadership teams to coordinate vendor payments through ACH, check, and other payment methods as needed.

● Maintain accurate customer, vendor, grant, and government contract files.

● Communicate with customers and vendors to help resolve questions and payment-related issues.

● Assist the Executive Director with preparing customer Memorandums of Understanding (MOUs).

● Review employee timesheets and payroll reports for accuracy and completeness for a team of approximately 16 employees.

● Communicate payroll changes to the Accountant and assist with payroll processing and review.

● Serve as a liaison with benefits providers when changes to payroll deductions are needed.

● Process biweekly 401(k) and HSA contributions.

● Review detailed monthly billings and supporting documentation for government agency reimbursements.

● Assist with maintaining documentation and records related to grants and government contracts.

● Gather and organize documents for the annual financial statement audit.

● Attend weekly team meetings, both in person and via Zoom.

● Assist with periodic general office duties, including scheduling, purchasing, and other administrative tasks as needed.

Qualifications

● 1–3 years of experience in an office or administrative environment; bookkeeping or accounting experience preferred.

● Experience with QuickBooks Online, Microsoft Excel, Google Workspace/Google Drive, and Microsoft 365.

● Strong organizational and time-management skills with excellent attention to detail.

● Comfortable working independently and collaborating with staff across different locations and schedules.

● Strong communication skills and the ability to build and maintain positive working relationships.

● Ethical, honest, dependable, and trustworthy.

● Ability to pass a background check and meet federal employment eligibility requirements.

Salary: $21.00 hr/$27,300 ann - $22.00 hr/$28,600 ann (DOE), part-time (25 hrs weekly) Schedule: Flexible schedule with some required weekly meetings Location: Downtown Salt Lake City office with possible remote work options
