Reports to: Volunteer Coordinator
Overview: Craft Lake City’s Assistant Volunteer Coordinator is a part-time, contract position that supports the Volunteer Coordinator and the overall efforts of the Craft Lake City Volunteer Department. This role plays a key part in organizing and managing volunteer engagement for the 17th Annual Craft Lake City DIY Festival.
The Assistant Volunteer Coordinator is responsible for volunteer check-in, training, and on-site coordination during the Festival. This team member will gain familiarity with all DIY Festival departments to ensure volunteers are properly trained and placed for a smooth and successful event.
Ideal candidates are highly organized, outgoing, team-oriented, and strong communicators with a passion for supporting Utah’s creative community. During the Festival, the Assistant Volunteer Coordinator will also assist other departments as needed—providing breaks, additional support, and excellent customer service to artisans, exhibitors, performers, and attendees.
This is a contract, festival-specific position with a commitment of working August 8-10, 2025, with additional preparation shifts in the 4-6 weeks prior to the festival and the days immediately following the festival. The DIY Festival Assistant Volunteer Coordinator is required to be onsite for the duration of the DIY Fest, so working long hours in potentially extreme heat are factors to consider and keep in mind when applying for this position.
Responsibilities:
- Support the Volunteer Coordinator in managing the DIY Festival Volunteer Lounge, including overseeing volunteer check-in/check-out when the Coordinator is unavailable
- Provide thorough on-site volunteer training during the DIY Festival
- Help assess volunteer needs during events and monitor volunteer activities
- Escalate any volunteer concerns or conflicts to the Volunteer Coordinator
- Offer event-wide support by moving volunteers between areas as needed and providing supplemental training
- Provide coverage and breaks for the Volunteer Coordinator and other staff during events
- Assist with Volunteer Lounge setup, décor, restocking snacks, drinks, maps, handbills, and other materials
- Help distribute volunteer benefits, including t-shirts and other items
- Answer questions and direct visitors and community members at events
- Support the Volunteer Coordinator with oversight and feedback for volunteer engagement at partner events
- Assist with post-event follow-ups, including volunteer thank-you messages and surveys
- Coordinate food donation outreach and pickups with Advisory Board members
- Supervise Brand Ambassadors at the Craft Lake City booth during partner events
- Contribute to social media content promoting Craft Lake City’s presence at community events
Qualifications:
- Enthusiastic about supporting Utah’s creative community
- Highly organized with strong attention to detail
- Strong customer service and interpersonal communication skills
- Professional, mature, and a positive representative of Craft Lake City
- Willingness to take on varied tasks from data entry to in-person support
- Comfortable building relationships with volunteers across phone, email, social media, and in person
- Able to check and respond to email daily in a timely fashion
- A true team player—collaborative, adaptable, and dependable
- Open to feedback and able to give input constructively
- Technologically comfortable; proficient in Google Drive, Docs, Sheets, etc.
- Bonus: Experience with Adobe Creative Suite, social media, or website content management
Requirements:
- Attend all required meetings and trainings
- Commit to working all DIY Festival hours (August 8–10, 2025)
- Available for long outdoor shifts (10+ hours) in summer conditions
- Commit to 5–10 hours per week leading up to the festival, with increased availability during peak event season
- Self-motivated and dependable—can take initiative and see tasks through to completion
- Must have access to a personal laptop, cell phone, and reliable transportation
- Must be comfortable lifting and moving event supplies (e.g., chairs, tables)
