About NOVA

NOVA Chamber Music Series is Salt Lake City’s premier professional chamber music organization, now entering its 49th season under the artistic leadership of Dr. Kimi Kawashima. NOVA presents seven concerts annually at Libby Gardner Hall at the University of Utah and the Utah Museum of Fine Arts, alongside community outreach and education programming. NOVA is preparing for its 50th anniversary season in 2027-2028.

About the Position

The Communications and Development Coordinator is a part-time contracted position reporting to the Executive Director. The Coordinator supports NOVA’s communications, patron services, and donor stewardship, working to provide a positive patron experience. 

This position is designed for emerging arts administrators with a background in music, who are eager to contribute to NOVA’s artistic mission.

Target start date: September 2026

Compensation and Terms

Rate: $30 per hour

Hours: Average of 20 hours per month, including concert-day responsibilities. The position is designed for flexible remote work except for being on-site for Sunday afternoon concerts.

Reporting to: Executive Director

Primary Responsibilities

Communications and Marketing

Audience communication is one of NOVA’s most important organizational functions. The Coordinator will work closely with the Executive Director and Artistic Director to create consistent, thoughtful, and engaging messaging to promote concerts through email blasts, the website, and social media.

• Draft and send two email communications per month 

• Manage NOVA’s Facebook and Instagram presence

• Assist with keeping NOVA’s website current

• Submit concert listings to community calendars and promotional partners

• Coordinate promotional exchanges with other arts organizations

• Maintain and update NOVA’s email list

Development and Donor Stewardship

The Coordinator will work with the Executive Director to support individual giving solicitations and donor stewardship. This role focuses on database management and campaign support rather than direct fundraising solicitation. 

• Acknowledge all donors with thank-you letters and tax receipts within two weeks of receiving a donation

• Maintain and update NOVA’s donor database 

• Accurately post donors in concert programs by donation level

• Support spring and fall fundraising campaigns 

• Manage invitation and RSVP lists for house concert salons and post-concert receptions (approximately 3 events per season)

Front of House 

The Coordinator will work collaboratively with the Executive Director, Board members, Operations Coordinator, and Box Office Assistant to create a welcoming and professional patron experience.

• Become proficient in the ticket program (SimpleTix)

• Manage comp ticket requests

• Prepare will-call table

• Create attendance reports

Qualifications

• Background in arts administration, music performance, music education, or a closely related field

• Genuine enthusiasm for classical music and familiarity with chamber music

• Strong written and verbal communication skills

• Excellent organizational skills and attention to detail

• Comfort working independently and managing multiple responsibilities

• Proficiency with Google Drive, Google Docs, and Google Sheets

• Availability to be present for all seven Sunday afternoon concerts

• Familiarity with the Salt Lake City arts community

• Experience with donor databases (Little Green Light or similar), email marketing platforms (Campaign Monitor or similar), and social media management preferred
