We’re looking for a highly organized, detail-oriented Development & Event Coordinator to play a key role in advancing our fundraising efforts and strengthening donor relationships. This position leads the planning and execution of signature fundraising events, manages donor data and acknowledgements, and partners with sponsors, vendors, and volunteers to create meaningful experiences that fuel our mission.

Essential Responsibilities

Event Coordination and Sponsor Engagement

  • Plan and manage all aspects of fundraising events, including three major annual events and additional smaller initiatives (goals, timelines, logistics, sponsorships, in-kind support, and performance metrics)
  • Develop and manage event budgets to ensure events are delivered on time and within scope
  • Lead project planning meetings and coordinate event committees
  • Secure and manage venues, vendors, and event partners
  • Oversee event registration, ticketing, and guest experience, including building and managing event pages using Qgiv or similar platforms
  • Collaborate with internal teams and community partners to promote events
  • Recruit, train, and manage teams of event volunteers
  • Conduct post-event follow-up, donor stewardship, and evaluations to drive continuous improvement
  • Identify, solicit, and steward sponsors and donors in partnership with the Development Director
  • Maintain strong relationships with corporate and community partners
  • Ensure fulfillment of sponsorship benefits and recognition commitments
  • Manage agency in-kind procurement, data entry, and reports

Donor Data Management

  • Accurately enter, update, and maintain donor information in MatchForce
  • Process donor gifts and ensure timely, thoughtful acknowledgements
  • Track contributions and generate reports for the Fund Development team
  • Manage event dashboards and reconcile monthly with accounting

Qualifications

  • 3–5 years of experience managing large-scale fundraising or special events
  • Experience with gala-style events (300+ attendees strongly preferred)
  • Knowledge of donor relations and fundraising best practices a plus
  • Bachelor’s degree in Marketing, Communications, or related field; or equivalent experience
  • Experience with CRM systems such as Salesforce or similar preferred
  • Strong skills in Microsoft Office, event platforms, and project management tools
  • Ability to work occasional evenings and weekends for events

 

PHYSICAL REQUIREMENTS

The employee is regularly required to communicate clearly, in oral and written formats, with others in person, over the phone, and via other devices. The employee must be able to transcribe, read extensively, prepare and analyse data and figures, constantly operate a computer and other standard office machinery. The employee is required to regularly travel to offsite locations to set up presentations and display physical and electronic forms. The employee must have the ability to lift, carry, push and/or pull objects weighing up to 50 lbs.


Compensation, Perks and Benefits: 

  • Approved salary range: $50,000 - $55,000 per year; annual salary commensurate with experience
  • Health Benefits - Medical/Dental/Vision - available on the 1st day of the month after you start.
  • Paid Time Off – On Average our staff earn/accrue more than $4,000 annually from Paid Time Off Benefits.
  • Paid Vacation
  • Paid Holidays include – most government holidays AND 1 week between December 25th and January 1st
  • Mileage Reimbursement for Travel
