Customer Service

The National Center on Shaken Baby Syndrome (NCSBS) is seeking a highly organized and customer-focused Distribution Coordinator to manage the inventory, fulfillment, and shipping of our crucial educational materials, including brochures, videos, and program kits as well as provide technical support to our e-learning users.


Responsibilities

  • Inventory and Fulfillment:
    • Manage and maintain accurate inventory levels of all educational materials and program supplies.
    • Oversee the efficient and timely picking, packing, and shipping of orders to customers, partners, and conference attendees.
    • Coordinate with shipping carriers to ensure the most cost-effective and reliable delivery methods.
    • Conduct regular physical inventory counts and reconcile with system records.
  • Order Processing and Database Management:
    • Process incoming orders accurately and in a timely manner.
    • Maintain and update customer and inventory records within the organizational database, preferred Salesforce experience.
    • Utilize and maintain the accounting software for inventory tracking, order invoicing, and related financial processes. Sage50 experience preferred.
  • Customer Relations and Communication:
    • Serve as the primary contact for customer inquiries regarding orders, shipping, and product availability via phone and email.
    • Resolve shipping, inventory, and order fulfillment issues with a high degree of professionalism and customer satisfaction.
    • Troubleshoot technical issues e-learning users may experience through our training.dontshake.org training site, including access to training courses, presentation performance problems, etc.
    • Provide excellent customer service, ensuring all communications reflect the professional and compassionate mission of the NCSBS.
  • Logistics and Operations:
    • Assist in the planning and logistics for national conferences and events.
    • Ensure all distributed materials are current, high-quality, and align with NCSBS branding and guidelines.
    • Source and manage relationships with external printing and fulfillment vendors.


Qualifications and Experience

Required Qualifications:

  • Experience: Minimum of 2-3 years of proven experience in distribution, logistics, inventory management, or a similar operations role.
  • Customer Relations: Demonstrated history of providing exceptional customer service and managing external communications effectively over the phone and email.
  • Organizational Skills: Excellent organizational skills with a keen attention to detail and ability to manage multiple tasks simultaneously.
  • Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel), experience with a computerized inventory or order management system and familiarity with online learning platforms.
  • Communication: Exceptional written and verbal communication skills.
  • Physical Requirements: Must be able to lift and move boxes weighing up to 50 lbs and stand/walk for extended periods to manage warehouse tasks.
  • Work Status: U.S. citizenship or legal right to work in the U.S.

Preferred Qualifications:

  • Software Experience: Direct experience with Salesforce and Sage50 for customer and order management.
  • Non-profit Experience: Prior experience working for a non-profit organization.


Compensation and Benefits Package

Position is flexible at 32-40 hours a week. Starting salary is $16-18/hr DOE. Full benefits package includes health and dental insurance, individual retirement account with 3% match, generous sick and vacation leave that increases with tenure and paid leave for 12 state and federally observed holidays.
