Event Manager

Event Planning and Management

Position summary: Provide logistics and operational support for the planning and execution of events and rentals at the Ogden Nature Center, under the direct supervision of the Development Director. This position ensures smooth event operations and exceptional guest experiences across public events, fundraisers, rentals, and community programs. 

Hours and Work Schedule: This position works 40 hours per week on a rotating schedule, including evenings and weekends to support event needs. Weekend parties, private rentals, and public programs will require flexible hours. 


List of Essential Functions and Responsibilities: 

Event Logistics and Execution 

  • *Support all event logistics including set-up, teardown, and on-site coordination. 

  • *Maintain and organize event equipment, supplies, signage, and décor. 

  • *Prepare venue spaces to ensure safety, cleanliness, and functionality. 

  • *Coordinate parking, accessibility, directional signage, and safety protocols. 

  • *Act as the point of contact for vendors, clients, and guests during events. 

  • *Troubleshoot last-minute issues calmly and effectively during live events. 

  • *Participate in walkthroughs and rehearsals as needed. 

  • *Assist in tracking event expenses and in-kind donations to support budget planning and post-event reporting. 

  • *Help implement risk management practices, including emergency protocols and incident reporting during events. 

  • *Support the Development Director in activating sponsorship deliverables and coordinating with event partners. 

 

Pre-Event Coordination 

  • *Assist the Development Director in developing timelines, checklists, and run-of-show documents. 

  • *Help organize and prepare event materials and signage. 

  • *Communicate event details and logistics with internal teams and partners. 

  • *Assist with venue layout planning and coordination with outside vendors. 

 

Volunteer and Staff Support 

  • *Assist with recruiting, training, scheduling, and supervising event volunteers in coordination with the Volunteer Manager. 

  • *Provide volunteers and staff with clear day-of instructions and support. 

  • *Assist in managing food, water, and restroom breaks during events. 

 

Rental Coordination 

  • *Serve as day-of contact for private rental clients including weddings, parties, and corporate gatherings. 

  • *Ensure rental contracts are fulfilled and venue expectations are met. 

  • *Provide warm, professional guest service throughout the rental experience. 


Administrative and Post-Event Tasks 

  • *Track inventory and maintain supplies related to event operations. 

  • *Record event outcomes and logistical notes for future improvements. 

  • *Support the Development team in sending thank-you notes to volunteers, donors, and partners. 

  • *Participate in post-event debriefs and contribute to ongoing improvements in event planning, execution, and guest experience. 

 

Qualifications: 

  • *Able to communicate orally and in writing in a clear and concise manner 

  • *Able to remain calm, organized, and responsive during fast-paced, live events 

  • *Able to lift and move event materials (up to 25 pounds) and work outdoors in all weather 

  • *Comfortable managing volunteers and working independently 

  • *Available to work weekends and evenings based on the event calendar 

  • *Positive and professional attitude; strong attention to detail and time management 

  • *Must be comfortable working outdoors and on uneven terrain 

 

Education, skills, and/or experience required: 

  • *2+ years of experience in event coordination, hospitality, or facilities support 

  • *Excellent interpersonal, written, and verbal communication skills 

  • *Experience with customer service, guest management, or vendor coordination are required 

  • *Proficient in Microsoft Office Suite 

 

Special skills, abilities, or requirements: 

  • *Maintain a current, valid Utah driver’s license. Use of a personal vehicle may be required for errands and event support. 

  • *Comfortable walking one mile or more outdoors on uneven terrain in various weather conditions.
