Job Overview
The Part-Time Executive Assistant will play a crucial role in supporting the Executive Director and ensuring the smooth operation of Preservation Utah. This dynamic position combines administrative, marketing, and facilities-related tasks in a collaborative and team-oriented environment. The role offers flexibility and an opportunity to contribute to meaningful work in a historic and inspiring setting.
Responsibilities
- Act as the administrative point of contact between the Executive Director and internal/external demands.
- Manage and maintain the Executive Director’s schedule, including appointments, meetings, and travel arrangements.
- Assist with marketing tasks, including drafting communications, coordinating events, social media, and maintaining promotional materials.
- Provide accounting support by tracking expenses, preparing reports, and assisting with budgeting tasks.
- Coordinate and take notes during meetings, ensuring action items are documented and followed up on.
- Support special projects and provide general administrative assistance to meet organizational needs.
- Collaborate with the Executive Director and other team members in a supportive, team-oriented work environment.
Additional Responsibilities, including but not limited to
- Maintain the presentability of common office spaces, creating a welcoming environment for all.
- Assist with marketing and communications tasks to promote Preservation Utah's programs.
- Undertake other duties as assigned by the Executive Director.
- Maintain and enhance relationships with Canyon Road neighbors.
- Fulfill historic building stewardship by maintaining and enhancing physical facilities, including all equipment.
Qualifications:
- Experience as an Executive Assistant, Administrative Assistant, or similar role.
- Organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in Google Workspace.
- Basic knowledge of marketing or accounting is a plus.
- Ability to work independently and handle confidential information with discretion.
- Flexibility and adaptability to changing priorities.
