Executive Assistant / Office Manager
BROAD FUNCTION:
The Executive Assistant/Office Manager is primarily responsible for providing support to Big Brothers Big Sisters of Utah (BBBSU) Leadership Team and Board of Directors, as well as overseeing the daily functions of the BBBSU administrative offices and its equipment to ensure maximum operational capacity.
Operational / Administrative Support (50%):
- Answer calls not handled by digital system transfers; may include providing information about programs and enrollment to potential volunteers and parents and to potential donors for clothing donations.
- Manage office including:
- Oversee day-to-day operations, including facilities and remote-staff support
- Supervising vendors, facilitating repairs as needed
- Maintain professional atmosphere in common areas
- Maintain necessary office supplies and inventory lists
- Process and sort mail daily and record incoming in-kind items and cash/checks
- Manage Volunteer and Employee Systems
- Acuity, WorkTango, Donation Manager, Dialpad, Formstack
- Manage licenses, permits and certifications for both BBBSU and FBBBSU entities
- Human Resources Support
- Manage Onboarding and Offboarding process for employees
- Including set-up of accounts in employee systems
- Managing employee documents and recertifications
- Fingerprinting vendor and support
- Manage Onboarding and Offboarding process for employees
Executive Assistant (50% of time)
Managing Board platforms and logistics for Board Meetings
Managing logistics for Staff Meetings / Staff Support
Support of Major Grants – Calendaring and reminders
Scheduling for Board and Staff
Board Reminders / Communication
Manage Food for Programs / Events
Preferred qualifications:
- Organizational Skills: managing multiple tasks efficiently, prioritizing workload
- Technical proficiency of Microsoft Office 365 Suite, familiarity with other platforms, Zoom/ Teams / Google etc.
- Experience managing records
- Excellent communication and organizational skills; strong attention to detail
- Able to work flexible hours (evening or weekend) occasionally as needed
- A comprehensive understanding of the mission of BBBS and a passion for fulfilling this mission
Compensation, Perks & Benefits
- $20-22/hour, based on experience
- Health Benefits - Medical/Dental - available on the 1st day of the month after you start
- Paid Time Off – On Average our staff earn/accrue more than $4,000 annually from Paid Time Off Benefits
- 10 paid holidays annually, plus 1 week from Christmas Day through New Year’s Day
