This role is for someone who is organized, creative, reliable, and adaptable—and who wants to grow alongside a mission-driven leadership team. You’ll be working in close partnership with the CEO and leadership collective, supporting governance, operations, and big-picture strategy. Training will be available, and what matters most is your passion, drive, and desire to learn, grow, be mentored, and make change.

YWCA is Utah’s most comprehensive provider of family violence services; our programs include walk-in services and a crisis line, emergency shelter, transitional housing, children’s programs, and a vast array of supportive services. In addition to our work in the area of family violence, the YWCA also reaches out broadly into the community with offerings for every woman, including a nationally accredited child care and early education center, leadership opportunities for women at all life stages, and opportunities to participate more fully in civic life.

Position Summary 

The Executive Assistant to the CEO plays a critical role in advancing YWCA Utah’s mission by ensuring the effectiveness of the CEO and leadership team. This role requires high-level administrative support, proactive problem-solving, and strategic foresight. The Executive Assistant serves as a trusted partner to the CEO, manages board governance processes, and ensures the flow of communication across the organization and with external stakeholders. This position demands reliability, confidentiality, flexibility, creativity, and strong technical and organizational skills. 


Essential Job Functions 

Executive & Administrative Support 

•    Manage the CEO’s calendar, email, travel, meetings, and daily priorities with accuracy and efficiency.

•    Anticipate next steps, prepare materials, and ensure the CEO is equipped for meetings and decisions. 

•    Draft, edit, and organize communications, presentations, reports, and correspondence. 

•    Provide administrative support to the Leadership Collective, including the Chief Development Officer and Chief Mission Impact Officer. 

•    Work across departments to support staff training, recognition, and other staff support initiatives. 

•    Bring strong marketing and design skills. Proficiency with Canva, Microsoft Office, Claude, and Excel is highly desirable. 

•    Maintain a high degree of confidentiality and discretion in all matters.  Board Liaison & Governance Support 

•    Support the Senior Executive Assistant, who leads coordination of Board of Directors and committee meetings, including scheduling, agendas, materials, and minutes. 

•    Assist with board recruitment, orientation, and engagement. 

•    Help maintain responsive communication and strong relationships with board members. Leadership Team Partnership 

•    Provide logistical and administrative support to the leadership collective. 

•    Track projects, deadlines, and follow-up items to ensure accountability. 

•    Support organizational communication and alignment across teams. Operational Excellence 

•    Collect and analyze data to support CEO decision-making and reporting. 

•    Use Microsoft 365, Excel, and other systems to manage information and improve workflows. 

•    Ensure processes are organized, efficient, and forward-thinking. 

•    Assist with special projects, events, and initiatives as assigned.  Competencies & Essential Skills 

•    Reliability & Dependability: Consistently follows through, meets deadlines, and maintains confidentiality. 

•    Communication: Exceptional verbal and written communication skills; able to interact with diverse audiences, including board members, funders, and staff. 

•    Technology: Proficiency in Microsoft 365 (Word, Excel, Outlook, PowerPoint, Teams); comfortable with data tracking and analysis. 

•    Organization & Planning: Highly organized, detail-oriented, and skilled at managing multiple priorities. 

•    Creativity & Flexibility: Able to problem-solve in new situations and adapt quickly to change. 

•    Board & Governance Knowledge: Familiarity with nonprofit governance or willingness to learn. 

•    Judgment & Initiative: Exercises sound judgment, anticipates needs, and takes initiative to move projects forward. 

•    Commitment to Mission: Deep alignment with YWCA Utah’s mission, values, and equity-focused philosophy. 


 Qualifications 

•    Bachelor’s degree or an equivalent combination of education and professional experience preferred. At least three years of administrative, project management, or related experience preferred. Nonprofit experience is a plus. 

•    Demonstrated ability to maintain confidentiality in sensitive matters. 

•    Strong interpersonal skills, with experience working in diverse and multidisciplinary settings. 

•    Skilled in Microsoft 365 (Excel required; PowerPoint, Teams, and Outlook preferred). 

•    Experience in data collection, organization, and analysis strongly preferred. 

•    Ability to work independently, manage time effectively, and prioritize competing demands. 

•    Availability for occasional evenings and weekends for board or organizational events. 

•    Must be able to pass a Department of Health and Human Services background check, eVerify, and i9. 


Work is generally performed in a safe office environment. While performing the duties of this job, the employee is regularly required to: Physical/Sensory Demands Work is generally performed in a safe office environment. While performing the duties of this job, the employee is regularly required to sit for long periods of time and use a computer and phone. The employee may also walk and stand for extended periods and perform repetitive wrist, hand, and finger movements. Occasional travel is required to attend conferences, trainings, or board and partner events. The employee may rarely be required to lift up to 30 pounds.
