Executive & Operations Coordinator

Admin/Operations

The part-time Executive & Operations Coordinator provides administrative and operational support to the Executive Director while helping ensure the organization runs smoothly and efficiently. This role coordinates executive priorities, board administration, organizational systems, and internal operations, enabling the Great Salt Lake Alliance to maximize its impact.


Key Responsibilities

Executive Support

  • Manage the Executive Director's calendar, scheduling, travel, and meeting logistics.
  • Prepare agendas, meeting materials, and briefing documents.
  • Track priorities, action items, and follow-up to support organizational effectiveness.
  • Provide day-to-day administrative support to the Executive Director.

Governance Support

  • Coordinate board and committee meetings, including logistics, agendas, and meeting materials.
  • Prepare board records, including meeting minutes and official documentation.
  • Track board action items, governance deadlines, and board communications.

Operations & Administration

  • Maintain organizational records, contracts, shared systems, and administrative processes.
  • Prepare recurring internal reports and dashboards, including budget tracking, work plan progress, and other operational metrics.
  • Compile information and documentation to support board reporting, strategic planning, and organizational decision-making.
  • Track organizational deadlines, reporting requirements, vendor relationships, and key operational milestones.

Qualifications

Required

  • 2+ years of experience in executive support, operations, project coordination, or nonprofit administration.
  • Exceptional organizational and project-management skills.
  • Strong written and verbal communication abilities.
  • Excellent attention to detail and follow-through.
  • Ability to manage multiple priorities independently.
  • Proficiency with Google Workspace, Microsoft Office, and project management tools.
  • Ability to handle confidential information with discretion.

Preferred

  • Experience supporting nonprofit leadership or boards of directors.
  • Experience managing administrative systems and organizational processes.
  • Familiarity with environmental or mission-driven organizations.

Position Details

  • Hours: Part-time, 20–25 hours per week
  • Pay Range: $23.00–$25.00 per hour
  • Supervisory Responsibilities: None
  • Travel: A valid driver’s license and insurance are required

Work Environment

  • Hybrid schedule: up to 5 hours per week may be completed remotely for administrative tasks
  • Additional time away from the office is likely, including outreach events
  • Approximately 80% of time is spent on computer-based tasks


Responsibilities may evolve as the organization grows. Priorities will be established collaboratively with the Executive Director, with an emphasis on supporting the organization's highest-impact work.
