Full Time Office Administrator and Manager
Project UNITE is seeking a highly organized, tech-literate Administrative & Office Manager to support core operations across the organization. This is an entry-level role ideal for a recent graduate who thrives in administrative work, enjoys managing systems, and wants real responsibility early in their career.
This is a hybrid position with 3+ days in-office (SLC) expected.
Key Responsibilities
Manage and maintain the organization’s CRM system (including invoicing and data integrity)
Handle accounts receivable, accounts payable, and expense tracking
Migrate current AR/AP to integrated CRM ecosystem
Liase with 3rd party accounting firm for financial reconciliation
Support payroll processing and financial documentation
Own invoicing, billing, and administrative workflows
Manage organizational collateral, including printing, inventory, and shipping materials for engagements and events nationwide
Provide day-to-day operations support, including scheduling, coordination, and execution of administrative and operational tasks
Support special projects and operational initiatives in close partnership with the Chief Operating Officer
Handle sensitive administrative and financial information with discretion and care
Serve as the primary office and operations support function
Ideal Candidate
Highly organized, detail-oriented, and dependable
Demonstrates sound judgment, discretion, and trustworthiness when handling confidential information (e.g., payroll data, personal identifying information)
Comfortable learning and working in software systems and dashboards
Strong administrative and operational instincts
Clear written and verbal communicator
Interested in an operations, administration, or business support career path
Note: This role is primarily administrative and operational in nature. While it does not involve direct program or content delivery, the Office Manager will work collaboratively with leadership and team members across the organization and will have visibility into—and opportunities to support—the broader mission and impact of Project UNITE. The primary objective of this role is to ensure strong, reliable administrative and operational execution.
