Grant Writing Specialist
Job Summary
The Grant Writing Specialist at Utah Legal Services (ULS) oversees the process and production of all materials related to the grant application process from identifying and proposing grant prospects, to writing proposals and reports, collecting data, budgets, and all relevant documents, to submission. These efforts contribute to the organizational mission of equal access to justice and the provision of ethical, competent legal representation to clients from low income and disadvantaged communities across the state of Utah.
Key Accountabilities
Proposal Preparation and Oversight
- Prepare proposals by determining concept, gathering and formatting information, writing drafts, and obtaining approvals.
- Determine proposal concept by identifying and clarifying opportunities and needs, studying requests for proposal (RFPs), and attending strategy meetings.
- Develop proposal by assembling information including project nature, objectives/outcomes/deliverables, implementation, methods, timetable, staffing, budget, standards of performance, and evaluation.
- Coordinate requirements with contributors and contributes proposal status information.
- Gather proposal information by identifying sources of information, coordinating submissions and collections, and identifying and communicating risks associated with proposals.
- Maintain quality results by following proposal-writing standards including readability, consistency, tone, and maintaining proposal support databases.
- Meets proposal deadline by establishing priorities and target dates for information gathering, writing, review, approval, and transmittal.
Grant Writing
- Responsible for researching, writing, compiling, and managing the timeline of all grants including maintenance and oversight of workflow processes and procedures to ensure accurate and efficient collection and timely submission.
- Write grant applications and all reports and conduct prospect research on new opportunities that align with the mission of Utah Legal Services.
- Coordinate reporting and oversight between multiple departments to ensure all activities related to grant data collection and reporting are smoothly implemented.
- Accomplish organization goals by accepting ownership for accomplishing new and different requests and exploring opportunities to add value to job accomplishments.
- Ensure compliance with IRS regulations and foundations’ requirements for grants.
Data Coordination
- Work with all departments to collect and synthesize data. Oversees grant workflow processes related to data entry to ensure adequate internal controls and that all grants reporting of data is accurate.
- Enter and monitors tracking data.
Administrative Duties
- Attend trainings and organizational meetings; complete appropriate CLEs.
- Assist in the preparation of materials for Board meetings.
- Other duties as assigned.
Skills and Abilities
- Demonstrated commitment to working with low-income community and promoting access to civil legal justice.
- Ability to write in a clear, concise manner to clearly communicate purpose and reach various audiences including foundations, donors, and broader general constituencies.
- Effective oral communication skills, ability to present information and represent the organization with community partners and funders.
- Ability to multi-task with attention to detail.
- Excellent organizational skills and ability to prioritize.
- Ability to work independently and in collaboration with others.
Requirements
- Must be able to pass a Utah Criminal Record background check.
- Minimum of two years related experience. Schooling beyond the minimum requirement can be substituted for experience.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
Job Factors/Physical Requirements
- Ability to sit for extended periods and perform repetitive tasks, such as typing.
- Some travel required, reliable mode of transportation required.
- This is a full-time exempt position.
Salary: $41,000 - $54,000 DOE
