Admin/Operations Fundraising and Development

Red Butte Garden & Arboretum (RBGA) is one of the largest botanical gardens in the Intermountain West and together with the University of Utah, is the State Arboretum of Utah. We are located on 100 acres in the foothills on the eastern edge of the University of Utah campus. The Garden has welcomed guests since 1985 and consists of over 21 acres of developed gardens and five miles of hiking trails winding through an extensive Natural Area. The Garden: which is community-funded; is renowned for its numerous plant collections, display gardens, 590,000 springtime blooming bulbs; including a vast collection of daffodils; gorgeous private event spaces, a world-class outdoor concert series, and award-winning horticulture-based educational programs.
 
Red Butte Garden is accessible via several bus routes that stop in Research Park and at the University Medical Center, as well as the Trax Red line, followed by a short walk or on-demand university campus shuttle. The campus shuttle offers a direct line to Red Butte Garden via the Sunnyside Route.


Job Summary and Responsibilities:

The Membership Assistant is responsible for supporting membership operations, including processing letters and acknowledgements, overseeing membership inbox and answering member inquiries via phone and email. Coordinating with the Membership Manager, the Membership Assistant oversees donation requests and waivers. Working with the operations team, the membership assistant will support data reconciliation and CRM data quality. Assistant activities include but are not limited to:


  • Reviews acknowledgement data for all members except concert donor club and performs regular system updates.
  • Oversees membership inbox, answering wide range of member related questions including digital cards. member benefits, the Red Butte Garden Outdoor Concert Series Member Presale, and online accounts. Inquiries may lead to system updates, such as removal of payment information, duplicate accounts, and changes to membership information.
  • Provides feedback on draft communications and newsletters. May oversee updating membership communications in the future.
  • Processes payments for memberships and upgrades; processes refunds under direction of Manager.
  • Assists in departmental reconciliation process, utilizing both excel and manual processes (e.g. comparing data rows line by line), with guidance and assistance the Advancement Operations Officer.
  • Oversees donation requests from nonprofits, including Wellness Pass fee waiver requests. This includes nonprofit research, creation of donation certificate and managing communication with requesting organizations. 
  • Supports the annual batch processing of memberships for volunteers, staff, and Board Members, with guidance and assistance the Advancement Operations Officer.
  • Performs various data hygiene tasks as needed, such as running existing system queries, updating spreadsheets, and researching missing and bounced member emails.


Minimum Qualifications:

Requires at least 1 year of related experience.

  • Strong written and verbal communication skills
  • Self-motivated; Ability to generate ideas
  • Team player; Willing and able to collaborate with others
  • Budget-conscious 
  • Proficient with Microsoft Office and Outlook
  • Salesforce (Unite)/Altru experience – or willingness and ability to master the use of complex database systems

Pay Range : $17.00 - $19.00, depending on experience
