Position
The Office Administration/Marketing Coordinator fills an important role at the Community Foundation of Utah (CFU). We are seeking a dynamic professional eager to support our work of community-based philanthropy.
CFU is a dynamic organization dedicated to catalyzing philanthropy in Utah by maximizing the potential of every philanthropic dollar. Over the past fifteen years, CFU has deployed over $550 million in grants to nonprofit organizations, while spearheading a variety of community initiatives to address our state’s most pressing challenges. What You Will Do
Office Administration
- General office administration duties or special projects as needed
- Order office supplies, facilitate mail, and provide general office support
- Respond to general inquiries and schedule meetings as needed
- Support IT Service Provider with onsite management of phone systems, printers, internet, staff computer setup, software management, and other organization IT needs
- Provide online meeting support and troubleshoot technological difficulties
- Administer memberships, certifications, registrations, and vendors
- Provide support to the Chief Executive Officer, as needed
- Provide logistical support to other CFU initiatives led by other CFU teams
Marketing Coordination
- Support marketing activities to increase CFU’s broader brand awareness and promote CFU’s services to new audiences. Specific duties include, but are not limited to:
- Draft and send email newsletters to donors, nonprofits, and other audiences
- Update website as needed
- Implement LinkedIn marketing activities
- Support the development of thought leadership and community highlights content
- Create materials such as flyers, cards, and other donor communications
- Support Marketing Manager as needed
- Graphic design support as needed
Meeting Planning
- Support CFU event planning
- Develop event marketing materials such as invitations, order forms, and agendas
- Brand slide decks and other presentation materials
- Assist with event set-up and take down for branded banners, tablecloths, and tech as needed
- Coordinate Continuing Education Presentations
- Send marketing campaigns to prospective accounting, law, and wealth management firms
- Coordinate presentation scheduling with guest speakers
- Support Annual Board Retreat and Luncheon
- Select and manage bookings with venues and/or catering
- Coordinate Board and Committee members, staff, and guest speaker arrivals
Philanthropic Services Support
- Support weekly grants administration for all donor advised, corporate advised, and agency funds, as well as weekly due diligence on all grant recipients
- Support Philanthropic Services with general donor onboarding as well as donor inquiries, communications, and donor related projects and tasks
- Enter and update data within donor administration system, as needed
- Generate and distribute grant letters to nonprofit recipients, as needed
- Support collection of ACH information from assigned nonprofits, as needed
Other donor administration and support duties as needed
What Experience You Will Need
- A passion for the power of community-driven philanthropy to solve some of our communities greatest challenges
- A minimum of two years’ work experience in a professional office environment
- Strong organizational and time management skills with exceptional attention to detail
- Excellent research, writing, editing, and communication skills
- Outstanding interpersonal skills and a desire to connect with community members
- A desire to learn and grow with a “can do” attitude, broaden skill set and knowledge
- Facile with core Microsoft programs and high level of digital literacy
- Willingness to work occasional evenings or weekends
- Data collection and evaluation experience a plus
