Office Assistant
We are seeking a compassionate, organized, and dependable bilingual (English/Spanish) Office Assistant to help support the day-to-day operations of our organization.
The ideal candidate is detail-oriented, welcoming, and committed to providing respectful, person-centered service to the diverse individuals and families we serve. Based in our main administrative office, this position provides essential administrative support to the Executive Director and the organization's overall operations. The Office Assistant also assists with the support of our community-based vision clinics, vision screenings, and outreach events as needed, helping ensure our programs run smoothly and efficiently.
Key Responsibilities
- Collecting the mail, filing paperwork, and organizing organization documents
- Answer and manage incoming phone calls with professionalism, warmth, and respect
- Schedule appointments and support clients through the booking process
- Perform accurate data entry and maintain client records
- Eyeglasses ordering and track fulfillment
- Order and organize office and clinic and vision screening supplies
- Monitor and track office needs, including staffing tools and equipment locations
- Support service teams in preparing for and executing clinics, screening and outreach events
- Assist with scheduling our community based clinics and mobile clinics,
- Maintain organized systems to support efficient and effective operations
What We’re Looking For
- Bi-lingual (English/Spanish)
- Strong organizational skills and attention to detail
- Excellent communication and customer service skills
- Comfort working with diverse communities, including individuals who speak English as a second language -and comfortable using interpretation services over the phone.
- Ability to multitask and adapt in a nonprofit, service-oriented environment
- Computer skills and ability to learn new systems
Work Schedule
- Part-time, hourly position
- Typically, 9-1 Monday–Friday during standard business hours
- Some flexibility may be required based on service schedules
