Office Coordinator
Classification: Full-Time, Hourly, Non-Exempt
Salary: $22.00 hourly rate/$45,760
Location: Sandy, Utah & Remote
Reports to: Finance Manager
JOB DESCRIPTION
Position Summary
The Office Coordinator is responsible for coordinating and strengthening RAW’s operational and administrative functions. This includes coordinating and overseeing RAW’s office functions for cost control, strong financial processes, and billing. This position will coordinate a variety of day-to-day office and clerical tasks to ensure the operations are smooth and well-run.
Duties and Responsibilities
- Supports Financial Manager with invoicing, collection, and reconciliation of monies for state and federal grants, monthly grant billing, and monitors bank accounts and financial statements.
- Provide administrative support to the RAW team.
- Works with the Executive Director to ensure fiscal and personnel records are complete, current, and accurate.
- Maintains necessary insurance records and works closely with RAW’s vendors on contracts.
- Coordinates employee payroll, benefits, and HR in collaboration with the Executive Director.
- Prepares new hire paperwork, works with the Programs Director to orient new employees including timesheet orientation, timekeeping procedures, and is responsible for timely filling and payment of all payroll related tax deposits and filings.
- Coordinates the day-to-day administrative functions of the office while also analyzing and prioritizing current and future operational needs.
- Performs other duties as may be assigned.
QUALIFICATIONS & SKILLS
- General front office support in a non-profit or within a tribal entity.
- Knowledge and general understanding of operative standards and grant reporting of a non-profit organization.
- Demonstrates the ability to clearly establish goals and objectives aligned with organizational priorities; effectively plan/organize activities and projects; work independently.
- Exhibits strong decision-making skills and consistently exercises sound judgment.
- Exhibits a high level of maturity and professionalism when dealing with sensitive matters; strictly adheres to confidentiality protocols and privacy standards.
- Experience with computer equipment, software, and other electronic devices. Knowledge of Microsoft Office, QuickBooks Online, Canva, and database management is desirable.
- Demonstrates strong digital literacy and the ability to quickly learn new technologies.
- Experience working with tribal communities.
- Ability to effectively communicate verbally and in writing with colleagues, coalition partners, and stakeholders.
- Highly skilled in documentation and record keeping; ability to organize and streamline processes.
WORKING CONDITIONS
- Most essential duties are performed in an office setting, the majority of time will be sitting with minimal walking and standing
- May be required to travel throughout Utah and the Great Basin region and some national travel.
- Must have the ability to travel throughout Utah independently, including Tribal nations in the Great Basin, and occasionally out-of-state if necessary.
- May occasionally require lifting items of 15-20 pounds.
