Customer Service Management

Position summary: Perform a variety administrative, human resource and communications duties in support of the day-to-day business activities at the Ogden Nature Center, under the direct supervision of the Executive Director, and acting primarily as assistant to the Executive Director.

Hours and Work Schedule: This position works 40 hours per week, Monday through Friday. Hours will increase during the days leading up to and after community events. Occasional evenings and Saturdays are required.

Administrative and Office Management

  • Assist Executive Director in scheduling and preparing meetings (staff, board, committees), including agendas, presentations, and room setup.
  • Track, purchase, and organize office supplies, postage, and equipment; ensure office equipment is maintained.
  • Oversee physical and digital filing systems and ensure secure record retention practices.
  • Maintain and track physical assets and inventory (e.g., computers, furniture, signage).
  • Coordinate with vendors and service providers for maintenance, technology, and supply needs.
  • Monitor operational needs and recommend systems for improved efficiency.
  • Support Visitor Services operations by training, supervising, and scheduling front desk staff; ensure a consistent and welcoming guest experience.
  • Oversee gift shop sales and ensure daily reports are balanced.
  • Manage online transactions (Stripe), daily cash receipts for incoming revenue, and gift shop sales (Square POS), ensuring accuracy of reporting. 
  • Prepare timely deposits and deliver them to the bank.
  • Serve as the main point of contact for basic IT support needs and coordinate with outside tech support when necessary.
  • Perform other duties and special projects as assigned by the Executive Director.
  • Manage constituent records and communications within Little Green Light (LGL), ensuring up-to-date and accurate recording of donations, timely thank-you letters, renewal reminders, and other mailings needed for membership.
  • Support event logistics and administration for ONC programs, fundraisers, and community events.
  • Maintain current insurance policies and renew permits, licenses, and business registrations. 

Human Resources

  • Conduct general onboarding and orientation for new employees.
  • Assist staff with employment paperwork and benefit-related questions.
  • Oversee background check processes for employees.
  • File state and federal employment reports in a timely manner.

Governance Support

  • Assist the Executive Director with Board and committee operations.
  • Prepare agendas, minutes, reports, and meeting materials.
  • Maintain compliance with governance policies and records, including annual forms and documentation.
  • Provide administrative support such as note-taking and Zoom hosting for board meetings.
  • Maintain confidentiality and handle sensitive information with discretion.

Safety and Compliance

  • Maintain updated emergency contact lists, first aid kits, and safety supplies.
  • Support coordination of basic safety procedures (e.g., fire drills, emergency response).
  • Help ensure organizational compliance with internal policies and nonprofit best practices.

Skills and Abilities

  • Highly organized and detail-oriented, with the ability to manage multiple tasks and meet deadlines.
  • Excellent written and verbal communication skills.
  • Positive and professional interpersonal skills; able to work with a variety of stakeholders.
  • Strong problem-solving skills and adaptability in a dynamic nonprofit environment.
  • Comfortable working indoors and outdoors, including walking up to one mile in varied weather conditions.
  • Proficient in Microsoft Office Suite, Google Workspace, LGL (or similar CRM), and virtual meeting platforms (Zoom, Teams).
  • Basic understanding of financial processes, budgeting, and purchasing.
  • Experience managing projects, supervising staff or volunteers, and implementing systems.
  • Maintain a current, valid Utah driver’s license. Use of a personal vehicle may be needed for off-site errands.
  • Available for occasional meetings and special events which are held in the evening or on weekends
