About the Job

At Grow the Flow (GTF), the Operations Manager keeps our organization on track and on task. We are a growing organization, and you will be entering a workplace centered around collaboration, self-starting, and a team deeply motivated by our mission. As an affiliate of Conserve Utah Valley (CUV), this role serves as a vital operational bridge, ensuring the financial integrity and administrative excellence of both organizations.

Working closely with the GTF Managing Director, you will ensure that billing, payroll, and financial tracking are handled with precision and transparency. You will also act as a strategic partner to our staff across community organizing, policy, and communications, helping the entire team stay aligned with organizational goals and milestones.

Beyond maintenance, this is a role for a builder. You will help improve and standardize our internal systems—from tracking volunteers and donors to managing our tech stack (WordPress, Mailchimp, Google/Microsoft). You will translate our collective progress into internal reports for our team and external reports for our board and donor network, ensuring that both GTF and CUV remain organized, efficient, and ready for long-term growth.



Type of work:


32-40 hours, largely remote work week 


Due to the nature of our work, candidates residing in Northern Utah with a personal interest in our cause will be prioritized. The position is remote with frequent in person events for internal growth and community engagement. Candidates living outside of Northern Utah with excellent qualifications will be considered. Work hours are flexible and an employee's schedule can be worked out by mutual agreement.



Key Responsibilities:

Financial Reporting

The person in this role will support financial operations for both Grow The Flow and Conserve Utah Valley (CUV):

- Records Maintenance: Work with accountants to maintain clean records for expenses, donations, and payroll for both organizations.

- QuickBooks Management: Use QuickBooks Online to track and record the flow of money for GTF and CUV.

- Purchase Monitoring: Manage and monitor purchases (subscriptions, event-related, and local chapter costs) via credit cards, Venmo, and checks.

- Budget Reporting: Prepare quarterly internal budget and fundraising reports for both GTF and CUV.

- Timesheet Oversight: Monitor employee timesheets for GTF and coordinate CUV timesheet submissions to the accountant every other week.

Donor Relations

- Create donor receipts/letters for large donations 

- Track donor engagement and outreach to streamline Managing Director’s role in maintaining existing donor relationships, building new relationships, and expanding grass-roots fundraising campaigns

Technology

- Work with other staff and external developers to monitor and maintain website (hosted on Wordpress)

- Troubleshoot issues with Grow the Flow’s software including: Microsoft for Nonprofits, Google for Nonprofits, website, mailchimp, and GiveButter 

- Monitor our public facing email account info@growtheflowutah.org and direct inquiries to the appropriate people

CUV Coordination 

- To ensure organizational connectivity, the Operations Manager will perform the following coordination tasks:

- Meeting Attendance: Attend CUV weekly meetings 1–2 times per month.

- Leadership Coordination: Dedicate 2–4 hours monthly to working directly with the CUV executive board and leadership.

- Cross-Organizational Support: Participate in weekly functional meetings and provide regular updates to the CUV team regarding how they can best support GTF initiatives.

- Financial Structure Support: Allocate 1–2 hours monthly specifically for CUV financial oversight, including QuickBooks monitoring and timesheet verification.

Team Operations

- Work with each department to develop and track quarterly strategic plans

- Record and help recognize work accomplishments and anniversaries for staff

- Support the onboarding of new employees



Qualifications

Minimum Qualifications

- Bachelor’s degree in related field and 2 years of experience OR an equivalent combination of education and experience

- Experience with the internal operations of nonprofit organizations

- Experience with CRMs, web design, and financial tracking

Preferred Qualifications

- 3+ years of experience working with nonprofit operations

Knowledge, Skills, and Abilities

- Knowledge of the issues facing Great Salt Lake and a personal desire to make a difference 

- Excellent written, verbal and interpersonal communication skills, as well as analytical, research and management skills.

- Knowledge of and commitment to the use of information technology to support advancement programs.

- Strong interpersonal skills, especially with donors, community members, and staff members from diverse backgrounds

- Flexible with a friendly demeanor, and will be able to tolerate a growing office with roles and tasks still being worked out.

- Experience using Wordpress, Mailchimp, donor management software, Microsoft products, and Google Products



Working Conditions: 

- Employees work a remote work-week with in person events, quarterly in-person strategic retreats, and frequent, local gatherings to build relationships with co-workers and community members in a largely remote work environment


Compensation: 

- Starting Salary: $50,000 + 20% benefits (negotiable based on experience)

- Nonprofit Operations Manager will be provided with an Apple Laptop with software

-Flexible work schedule emphasizing performance and task completion over hours logged

- 20% benefits to cover health insurance, remote work costs, tax withholding, and other expenses at the employees discretion

- Flexible time off dependent on Director approval
