Orchestra Personnel Manager
The Orchestra Personnel Manager complements the Director of Orchestra Personnel by being the primary day-to-day administrator of Utah Symphony Utah Opera’s (USUO) collective bargaining agreement (CBA). Under the supervision of and in collaboration with the Director, the Manager liaises between USUO administrative staff and orchestra, serves as a resource and counsel for orchestra musicians, supports activity around rehearsals and performances, and is the main coordinator of orchestra auditions. Occasionally, in the absence of the Director, this Manager must fulfill certain duties of the Director including managing payroll or handling orchestra personnel concerns. Responsibilities such as maintaining personnel office records or engaging with personal information require this Manager to act with discretion and tact.
ESSENTIAL RESPONSIBILITIES INCLUDE:
Administrative Management
- Hiring of substitute and extra musicians as needed.
- Aid in managing personnel files and databases; personal contracts, payroll.
- Work with the Director in administering the Collective Bargaining Agreement with respect to all services; start and stop times, breaks, attendance, seating, posting schedules and rosters, rehearsal orders, and official communications, etc.
- In collaboration with the expertise of the Director of Information Technology and the Chief Financial Officer, responsible for instrument insurance billing, changes, and general updating of database.
- Participates in all relevant orchestra and staff meetings such as Orchestra Committee Meetings, select orchestra subcommittees, and Symphony Operations staff production meetings.
- Share the responsibility of attending rehearsals and concerts with the Director.
- Advise and assist the Director of Orchestra Personnel in providing informed, thoughtful, and creative solutions for CBA updates, when relevant (contract renewal).
Auditions Logistics
- Serve as audition coordinator, organizing and maintaining all applications and resumes; communicating time and date of auditions to internal and external candidates, audition committee and musicians’ union in timely and accurate manner.
- Ensure that auditions run smoothly by attending all auditions, being available to answer questions, and assisting the Director as needed.
- Maintain files (communications, guidelines, and repertoire) for each audition in an organized and accessible manner.
EDUCATION/EXPERIENCE/SKILLS:
- College Bachelor’s degree or equivalent relevant experience required.
- Professional orchestra management experience, experience in orchestra personnel administration, and/or musical background strongly preferred.
- Knowledge of classical music and understanding of orchestral instrumentation required.
- Heavy emphasis on record keeping and documentation consistent with overall needs of orchestra personnel, the Collective Bargaining Agreement, and management.
- Excellent interpersonal, personnel management, and negotiation skills.
- Excellent verbal, aural, and written communication skills.
- Excellent collaboration and inclusive planning skills.
- Excellent organizational and time management skills with a proven ability to meet deadlines and function calmly under pressure.
- Able to effectively function on a team while working collaboratively or independently.
- Detail-oriented, organized, able to problem solve, and advise supervisors regarding critical decisions.
- Proficient with Microsoft Office Suite (Word, Outlook, Excel).
- Ability to maintain strict confidentiality of personnel information and benefit records.
- Flexible work schedule required, including nights, weekends, and services away from Abravanel Hall.
- Ability to travel for tours and run-outs as needed.
PHYSICAL REQUIREMENTS:
- Prolonged periods of sitting at a desk and working on a computer.
- Moves equipment weighing up to 30 pounds.
