Part Time Receptionist (St.George Office)
Position Summary
The Part-Time Receptionist serves as the first point of contact for clients, visitors, and callers at Utah Legal Services. This role is essential in creating a positive and welcoming experience. Responsibilities include managing the front desk, answering and directing incoming calls with care and professionalism, providing exceptional customer service, and supporting administrative tasks to help our office run smoothly. As a key member of our team, the receptionist helps ensure that each person feels respected, supported, and heard from the very first interaction.
Key Responsibilities
Open the office at the beginning of the day, ensuring all systems and spaces are prepared for operations.
Review voicemails and return calls in a timely manner.
Greet clients and visitors warmly and direct them to the appropriate personnel or meeting rooms.
Maintain a professional and welcoming reception area.
Answer, screen, and forward incoming phone calls in a courteous and timely manner.
Respond to general inquiries or route them to the appropriate department.
Provide basic and accurate information to clients calling Statewide reception
Schedule appointments and maintain the firm’s calendar.
Assist with filing, photocopying, scanning, and data entry.
Receiving, scanning, and uploading incoming mail.
Distribute mail and packages to appropriate staff members.
Print and send outgoing mail.
Assist clients with intake forms or other documentation as needed.
Handle confidential client information with discretion and in compliance with the firm’s policies.
Ensure the reception area is clean and stocked with necessary supplies, such as brochures and forms.
Monitor and restock office, breakroom, and supply room as needed.
Close the office at the end of the day, securing the premises and ensuring all equipment is properly shut down.
Qualifications
High school diploma or equivalent required.
Spanish speaking preferred but not required.
Previous experience in a receptionist or administrative role preferred.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
Capable of using de-escalation skills when interacting with difficult applicants.
Strong verbal and written communication skills.
Ability to maintain professionalism and confidentiality at all times.
Excellent organizational skills and attention to detail.
Ability to work independently and prioritize tasks effectively.
Work Schedule
Remote: Monday 9:00 AM – 3:00 PM
In the Office: Tuesday, Wednesday, and Thursday, 9:00 AM – 3:00 PM.
Physical Requirements
Ability to sit for extended periods and perform repetitive tasks, such as typing.
Occasionally lift and move office supplies or files up to 30 pounds.
Reports to: Intake Managing Attorney
Hourly Rate: $18
FLSA Status: This is part time non exempt position.
