Sightfest Events Coordinator
The SightFest Events Coordinator plays a key role in executing Friends for Sight’s large and small scale SightFest vision clinics. This position is responsible for coordinating event logistics, scheduling, volunteer management, and maintaining strong relationships with community partners. This is a highly collaborative role requiring excellent event planning, communication, and organizational skills, as well as the ability to manage multiple tasks with accuracy and professionalism.
Primary Responsibilities:
- Coordinate all planning aspects of SightFest events in partnership with staff and community stakeholders.
- Build and maintain partnerships with community agencies, schools, and healthcare providers.
- Develop and manage event timelines, supply lists, venue layouts, and logistics.
- Recruit, schedule, and train volunteers and manage volunteer needs day-of.
- Serve as the point of contact for event-related communication, logistics, and follow-up.
- Ensure smooth event execution by overseeing set-up, tear-down, and flow of services.
- Maintain accurate documentation, schedules, and data related to each event.
- Encourage participant and volunteer feedback through surveys and comment collection.
- Support marketing and social media needs by coordinating with team members and community partners to collect photos, stories, and highlights.
- Assist with post-event reporting, data tracking, and thank-you communications.
- Other duties relevant to this position may be assigned to you at any time.
Qualifications:
- High School Diploma or equivalent required;
- Minimum 1–2 years of experience in event planning, volunteer coordination, or community outreach (nonprofit experience strongly preferred).
- Proven ability to coordinate logistics and manage multiple priorities effectively.
- Strong written and verbal communication skills.
- Comfortable working independently and collaboratively in a team environment.
- Detail-oriented with strong documentation and organizational skills.
- Proficient with Microsoft Office, Google Workspace, and willingness to learn event/project management software, along with all other company tools.
- Must be available for occasional early mornings, evenings, or weekends.
- Ability to lift up to 50 lbs, bend and move during event setup/cleanup, and stand for extended periods.

Hours & Schedule:
- This is a full-time position, averaging 40 hours per week, with flexible scheduling based on event timing and planning needs.
- Typical shifts are 8 hours, 5 days a week with morning availability preferred to align with partner schedules.
- Schedule is event-dependent and may include occasional early mornings, weekends, or overnight stays for events held outside the Salt Lake area.
- This position involves a combination of in-office planning, fieldwork, and on-site event coordination.
- This position requires driving to event sites, and lifting moderate-weight cases and equipment.
Work Location:
- In person at main office and event sites,
- Some work-from-home flexibility for planning and documentation tasks,
- Frequent local travel. Event sites across Utah.
