Support Services Manager

Admin/Operations
  • Key Responsibilities
    • Fundraising & Donor Stewardship Support:
    • Manage donor database entries, ensuring accuracy, and generate reports as needed. 
    • Coordinate donor communications, including processing thank-you letters and tracking stewardship touchpoints.
    • Assist with campaign logistics and basic grant administration.
    • Work closely with staff and volunteers to help create stories.


  • Program Data Tracking & Administration:
    • Oversee data collection and entry for all programs, maintaining organized and confidential records.
    • Generate program impact reports to help evaluate effectiveness and inform future planning.
    • Maintain organizational files (CRM) and manage general office administration tasks.
    • Keep accurate records of program, service, and event budgets


  • Event Planning & Coordination:
    • Provide logistical and administrative support for events, trainings, and community gatherings.
    • Coordinate event logistics, including vendor communications, attendee registration, and on-site event support.
    • Ensure photos are taken at all events, and maintain photo database (Google Drive).


  • Volunteer Coordination:
    • Serve as the primary point of contact for prospective volunteers.
    • Coordinate volunteer & mediator recruitment, onboarding, scheduling, and appreciation efforts.
    • Maintain volunteer records and track hours in the volunteer management system.


  • General Operations Support:
    • Ensure the office and remote environment are in order with supplies and operational tools - i.e. Google Calendars, stocked with necessary supplies, and operational.
    • Other tasks and special projects as they arise. 

Qualifications and Skills

  • Experience: Proven administrative or operations experience, preferably within a non-profit environment. Experience in fundraising support, event planning, or volunteer management is a plus.
  • Skills:
    • Organizational Prowess: Excellent organizational skills, attention to detail, and the ability to manage multiple priorities simultaneously in a fast-paced environment.
    • Tech Savvy: Proficient in Google and Microsoft Office Suite. Experience with CRM software or donor management databases is highly desirable. 
    • Communication: Strong interpersonal skills and excellent written and verbal communication abilities.
    • Team Player: Ability to work independently with minimal supervision while also thriving in a collaborative, team-oriented setting.
