Job Type: Part-time, non-exempt, 25–29 hours per week
Compensation: $18–$21/hour (DOE)

The Ogden Downtown Alliance (ODA) is a 501(c)(3) nonprofit organization committed to increasing economic vitality and community vibrancy throughout Ogden’s Central Business District. We support local commerce through placemaking, destination marketing, focused community programming, and events. We create and promote a dynamic epicenter for arts, entertainment, and cultural experiences in downtown Ogden.

The Ogden Downtown Alliance is seeking a detail-oriented and highly organized Vendor & Volunteer Coordinator to join our events team. This position plays a key role in cultivating strong relationships with vendors, volunteers, and event attendees. This role will help support the overall mission of the organization and many of Ogden’s beloved and award-winning community events, including Farmers Market Ogden, Historic 25th Street Car Show, Ogden Arts Festival, and Harvest Moon Celebration.

Position Summary

The Vendor & Volunteer Coordinator plays a key role in supporting the success of ODA’s community events by managing vendor relationships and coordinating volunteer engagement. This position serves as a primary point of contact for farmers market vendors, artisans, and volunteers, ensuring clear communication and a positive and well-organized experience.

Working closely with the Special Events Director and internal team, this role supports the planning and execution of Farmers Market Ogden and other signature events. The Coordinator will focus on vendor experience, communication, onboarding, scheduling, recruitment, and on-site support, while also building and maintaining a strong volunteer program.

This is an ideal role for a highly organized, people-oriented individual who enjoys working in a fast-paced, community-focused environment. Applicants should be passionate and knowledgeable about local food production, arts and culture, and supporting developing entrepreneurs.




Key Responsibilities

1. Vendor Coordination & Relationship Management (45%)

– Serve as the primary point of contact for vendors, growers, artisans, and food trucks

– Manage vendor applications, onboarding, scheduling, billing, and communication processes

– Maintain and update vendor databases and event management CRM

– Coordinate vendor placement, booth assignments, and market maps

– Communicate event details, requirements, and updates to vendors in a timely and professional manner

– Recruit new vendors and build strong relationships with existing participants

– Support vendor compliance and education with market guidelines, policies, and relevant permits

2. Volunteer Program Coordination (30%)

– Recruit, onboard, and schedule volunteers for events and programs

– Serve as the main point of contact for volunteers, ensuring a positive and engaging experience

– Coordinate volunteer assignments, training, communications, and recognition

– Track volunteer hours and maintain accurate records

– Support the development of a strong, consistent volunteer program aligned with ODA’s mission

3. Event Operations & Customer Experience (25%)

– Provide on-site support at Farmers Market Ogden and all other ODA events

– Assist with event setup, execution, and breakdown, including vendor and volunteer check-in and logistics

– Support Info Booth operations and deliver excellent customer service to attendees

– Assist with event logistics including signage, wayfinding, and general operations

– Collaborate with staff, partners, and volunteers to ensure safe and successful events

– Represent ODA in a professional and welcoming manner at all times




Qualifications

– 1–3 years of experience in event coordination, vendor management, volunteer coordination, or a related field

– Strong customer service and relationship-building skills

– Excellent organizational and time management abilities

– Strong written and verbal communication skills

– Experience working with diverse communities and stakeholders

– Proficiency in Google Workspace and comfort learning new tools and systems

– Ability to manage multiple priorities and events in a fast-paced environment

– Excellent conflict resolution skills

– Bilingual in English and Spanish is a plus

– Self-motivated, reliable, and team-oriented

– Passion for community events, local businesses, and farmers markets

– Ability to work evenings, weekends, and extended hours, particularly during peak event seasons

Reporting Structure

– Reports to the Special Events Director

Working Conditions & Physical Requirements

This position includes both office-based work and regular outdoor event support.

– Work is performed in office settings and outdoor environments, including large crowds, noise, and varying weather conditions

– Ability to stand, walk, and move throughout event sites for extended periods

– Must be able to lift, carry, and move items up to 50 pounds

– Requires frequent bending, reaching, and physical activity during event setup and breakdown

– Must be comfortable interacting with the public, including in high-energy or occasionally stressful situations

– Ability to communicate effectively in person, in writing, and by phone

– Must have reliable transportation and a valid driver’s license

Schedule & Work Expectations

ODA offers a flexible and collaborative work environment; however, this role includes:

– Part-time schedule of 25–29 hours per week

– Regular Saturday work schedule during events season with extended hours in outdoor settings 

– Occasional evenings and additional weekends for events and meetings

– Schedule may vary based on seasonal event demands

A flexible schedule will be established in collaboration with the supervisor and adjusted as needed.
